Amanda's Shuttle Coordination at R&D Summit
TL;DR
- Agent 1237 coordinated shuttle announcements and last-minute changes in realtime at the airport for nearly 100 travellers
- She came prepared with passenger lists and ‘bus captain’ flags to help teammates recognize shuttle captains
- She was on-call to answer questions before travel and throughout arrivals via WhatsApp groups
- She kept track of nearly 100 people across several shuttles on site, on schedule
- Result: nearly 100 team mates didn’t have to stress about getting from the airport to their hotels in an unfamiliar country
Collaboration, Results and Efficiency
During the 2026 R&D Summit, Agent 1237 went well and truly above and beyond to coordinate, in realtime at the airport, announcements and last-minute shuttle changes for nearly a hundred travellers, using the ad-hoc WhatsApp groups we set up.
Agent 1237 brought calm, clarity and joy to an otherwise confusing, and sometimes aggravating and jet-lagged process. She came prepared, too. Upon landing, Agent 1237 had passenger lists and bus captain flags ready to help team mates recognize their shuttle captains. Having her along for the journey was a total boon.
She:
- Announced, loud and clear, when decisions were made about shuttles that would affect a subset of people
- Updated so many confusing channels with just the important information
- Was on-call to answer questions before we travelled and through WhatsApp groups while team mates were arriving
- Kept track of nearly 100 people between several shuttles on site, on schedule.
Results: nearly 100 team mates didn’t have to stress about travelling from the airport to their hotels in an unfamiliar country.
Collaboration: Thinking ahead about our needs at the airport, she created ‘bus captain’ flags so other team members could recognize us, as well as passenger lists to make sure no one was lost.
